Dropbox: Inviting, Accessing & Sharing

This describes how to invite other people to Dropbox, either one at a time or in groups. And how to access or give access by sharing folders with the people you choose.

Install Dropbox

Dropbox Home Page

Go to Dropbox and download.

Then double-click the downloaded file and follow the instructions to install Dropbox. You will be required to enter a username and password to set up your account.

You can ‘invite’ someone to Dropbox, as simply a recommendation of a good service, without ever intending to share a folder with them.

If you want to invite someone for the purpose of sharing, skip this step and go straight to the next one.

Log into your Dropbox account or right-click on the Dropbox icon in your system tray and click Get More Space. Then click the arrow next to your name and then Settings. At the bottom of the page, click on Referrals.

On the next page, you will see your personal referral link. Invite people directly by email, Facebook or Twitter. Or paste the link into email or other web pages to earn bonus space when another person installs Dropbox.

To share a folder

When you have Dropbox installed, under My Documents (Windows) you will find a folder called My Dropbox.

To invite one person

Make a new folder with your name and the person you want to invite. Or …

To invite more than one person

Shared Group Folder

Make a new folder with the name of the group.

Right-click on the folder you want to share and choose Dropbox/Share this folder…

This box will open in your Dropbox account online.

  1. Add the email address of the person you want to share this folder with. Or all the email addresses for all the desired participants of a shared group folder.
  2. You can also add a message. (It’s optional.)
  3. If you don’t want members of the folder to invite other people make sure this box is not ticked.
  4. Click the Share folder button.

Each person who receives the invite will be able to access the shared folder.

In this case, if KimM already has Dropbox installed, she will automatically see the JL-KimM folder in her My Dropbox folder as well as in her Dropbox account online. If not, she will have to install Dropbox first.

She does not have to install Dropbox before I can invite her to a shared folder.

From now on, any files I put into the JL-KimM folder will show up on her computer. Any files she puts into the folder will sync to my computer. If I remove a file, it’s also removed from her computer. And vice versa.

It works the same way sharing files amongst a group.

Your shared folders can also be accessed or created by logging into your Dropbox account.
